How It Works

From filing cabinet to reconciled.

Rather than describe the mechanism, here it is running. Four line items, four shapes of finding, each one walked from the scanned clause to the dollar delta.

Run It

Pick a line. Watch it reconcile.

Four shapes of finding, on invented data. The mechanism is identical on yours.

01 · The Source

However it reaches us. A scan, a photograph of a signed page, an attachment nobody merged.

SGHA Annex B Table 2 / page 14
Anti-icing services shall be provided on request. Type IV anti-icing fluid shall be charged at the per-litre rate set out in Annex B, Table 2, applicable from 01 November through 31 March. Rates published by the Contractor outside this Agreement shall not apply.

Structured, version-controlled, and pointed back at the page they were read from. Brass marks what governs this line.

04 · The Finding
Flagged Recoverable on this invoice, and on every de-icing line billed at the list rate since 01 November.

The vendor billed its own published list rate rather than the contract rate in Annex B. The clause rules that out in terms. Same fluid, same volume, same date, wrong rate card.

Every flagged line leaves with the invoiced amount, the contracted amount, the delta, and the governing clause with its source page attached. That is the form a vendor conversation needs, so we produce it up front.

The Exchange

What we need, and what comes back.

Effort on your side for the first pass: forwarding files. We do not ask an ops team to fill in a template or a finance team to restructure an export.

You send
Contracts in whatever state they are in. Then invoices: what you issue, what you receive, or both. Remittance advice or an AP/AR export if you have one handy.
We return
A structured record of every agreement, a line-level reconciliation of every invoice against it, and a queue of flagged discrepancies, each with the dollar delta and the governing clause attached.
Turnaround
A free scan of one contract and one invoice comes back within a few business days. A first engagement scoped to a station or a vendor is a matter of weeks, not quarters.
Handling Your Documents

How we treat the contracts you send us.

Your agreements contain your rates, your customers and your margins. Here is the posture, stated plainly rather than implied by a badge.

  • NDA before documents. Contract review runs under a mutual non-disclosure agreement. We sign yours or provide one.
  • Version-controlled source documents. Nothing is overwritten. Every version of every agreement stays retrievable, which is also what makes “what was the rate on this date” answerable.
  • Line-level audit trail. Every structured value points back to the page and paragraph it was read from.
  • Your data is never marketing. No client names, no station codes, no rates, no anonymised case studies. Every figure on this site is invented.
  • No certifications claimed. GroundAlly is a new company and does not hold SOC 2 or ISO 27001 today. If a formal attestation is a requirement for you, tell us and we will be straight about where that stands.
Roadmap

What isn't built yet.

Stated here so it never has to be discovered later in a sales conversation.

ERP integration

Not built. Today the bridge is client-forwarded AP/AR exports or remittance PDFs, run through the same pipeline as the contracts. The planned path is a unified accounting API rather than a custom connector per system.

Priority systems

NetSuite and Microsoft Dynamics 365 first, given what this customer base actually runs. SAP for larger multi-station operators. Sage Intacct and QuickBooks follow from the same layer.

Until then

Nothing about the reconciliation depends on it. The integration removes a forwarding step. It does not change what gets checked or what you get back.

Questions

The ones we get asked first.

Our contracts are a mess. Is that a problem?

No. That is the normal starting condition and the reason the work exists. Scanned pages, amendments that were never merged, a rate that changed in an email thread. Send it as it is. Sorting that out is the first half of the job, not a prerequisite for it.

How is this different from PDC GroundCost or Accelya?

Those are built for airlines to audit their ground handlers. Same arithmetic, opposite side of the table. GroundAlly works your side of the ledger, which means it also catches your own under-billing, something a tool built for the airline has no reason to look for. The A321neo example above is exactly that case.

Do we have to connect a system?

No. Forwarding files is enough to start, and always will be enough. ERP integration is a convenience on the roadmap, not a requirement.

What if the scan finds nothing?

Then we tell you that, and you have a free, evidenced answer to a question worth asking. The fuel example above is a matched line, and reporting it as clean is the honest result.

Who actually does the review?

The structuring and the line-by-line checking are automated. The judgement calls, which clause governs, whether language is enforceable, what is worth disputing, are done by a person, and you will be talking to that person directly.
